What happens on a call
When a caller asks for an appointment, the receptionist fetches your real free times from this system and offers them. When the caller picks one, it books it straight in. If the system refuses (someone took the slot first, say), it offers fresh times or flags it for your team — it never tells the caller they are booked when they aren’t.
Setting it up
- 1In Calendly, go to Integrations & apps → API & webhooks and create a personal access token.
- 2Paste it into Apps & Connections → Calendly and press Connect & test.
- 3Choose the event type phone callers should book, and the email to use for callers who don’t give one.

- Calendly only accepts bookings from outside on its paid plans (Standard and above). On a free plan — or when your event type has required questions — the receptionist texts the caller the link to the exact time instead.
If something goes wrong
A connection never breaks a call. If Calendly can’t be reached, the receptionist falls back — to its own diary for times, to fresh times or a flag for your team if a booking is refused, and to a note on the order if sending fails. Keys you give us are encrypted and never shown back.
