Bookings & reminders · New

It doesn’t just take the booking. It looks after it until they walk in.

Your receptionist checks your real diary while the caller is on the line, books them in, and texts or WhatsApps a confirmation with their own link to confirm, move or cancel. Then it reminds them, offers the slot to someone waiting for one if they cancel, and tells you what your day looks like every morning.

No card needed for the trial.

What the caller hears

A sample booking call

CallerHi, have you got anything on Friday for a cut and colour?
ReceptionistMm, let me just check the diary… I’ve got 10am or 2:30pm on Friday — which suits you better?

✓ reads your real calendar while it talks

CallerHalf two, please. It’s Sam.
ReceptionistLovely. That’s you booked in for Friday at 2:30pm, Sam. I’ll text you a confirmation now.

✓ re-checks the slot at the moment it books

It only says “I’ll text you” when a text really will be sent. The calendar write and the text happen straight after, so the caller isn’t kept waiting.

From the call to the visit

Every booking goes through the same steps, whether it was made on a call, in your dashboard, in the phone app or by the customer’s own link — so none of them can skip the confirmation or the calendar.

  1. 01

    On the call

It checks your real diary before offering a time

It reads its own diary and your connected Google or Outlook calendar live, so your dentist appointment or school run blocks the slot. While it looks it says what a person would — “mm, let me just check the diary” — and it checks again at the moment it books, so two callers can’t take the same time.

  2. 02

    Straight after

A confirmation with the customer’s own link

The booking goes into your calendar and the customer gets a text (and an email, if they gave one) with a private link. From it they can confirm, move to another free time, cancel, or add it to their own calendar — no phone call needed.

  3. 03

    Before the visit

    Reminders you choose

Up to three reminders — a day before and two hours before by default. By text or WhatsApp, plus email where there is an address. You set a cut-off for changes, such as “no online changes within 24 hours”.

  4. 04

    If they cancel

The Open slot notifier fills the gap

The calendar event is removed and reminders stop. The Open slot notifier texts the freed slot to the first matching person waiting for one and holds it for them — two hours by default — then offers it to the next person if they don’t claim it.

  5. 05

    If they don’t turn up

    One friendly no-show text

Mark a no-show and the customer gets one “sorry we missed you — give us a ring to rebook” text. Just one. Nobody gets nagged.

  6. 06

    After the visit

A review request, if you want one

Optionally, a single text with your Google or Trustpilot review link, sent a set time after the appointment. Off unless you switch it on.

  7. 07

    Every morning

Your day, at your own hour

A morning summary by email, app notification or WhatsApp — 7am by default, in your own time zone — listing the day’s bookings, with anything unconfirmed flagged.

UK time, unless you say otherwise

Your opening hours, the times it speaks, reminders and your morning summary all use your business’s time zone — UK time by default, with the switch between GMT and British Summer Time handled for you. Running a business somewhere else? Change it in setup or on the Bookings & Reminders page.

No calendar? No problem

It has its own diary built in, with your hours and appointment lengths. Connect Google or Outlook under Apps & Connections when you’re ready (or ask us to connect it for you) and your own appointments will block times too — and every booking appears on your phone.

Questions people ask

Does the AI receptionist really check my calendar during the call?

Yes. With Google Calendar or Outlook / Microsoft 365 connected, it reads your busy times live before it offers a slot, and checks again at the moment of booking. Every booking it makes is written back to your calendar straight away. You can also connect booking systems such as Acuity, Cal.com, SimplyBook.me, Setmore, Microsoft Bookings, Calendly, Dentally or Cliniko.

How does the customer change or cancel?

Their confirmation text (and email, if they gave one) carries a private link to that one booking. They can confirm they’re coming, pick a new time from your real free slots, cancel, or add an email for reminders. You decide how close to the appointment they can still do that online.

How many reminders are sent, and when?

Up to three, at times you choose. The default is one a day before and one two hours before. Reminders go by text or WhatsApp, and by email too when there is an address.

Can reminders go by WhatsApp?

Yes. Switch WhatsApp on in your dashboard and confirmations and reminders go by WhatsApp as well as text, with the same change-or-cancel link. You can also schedule reminders for yourself and your team, and customers can message you on WhatsApp and the same AI answers, books and reschedules.

What happens to a slot when someone cancels?

The Open slot notifier texts it to the first matching person waiting for a slot and holds it for them for a set time (two hours by default). If they don’t claim it, it moves on to the next person.

Will it get the time wrong when the clocks change?

It works in your business’s own time zone, which is UK time unless you change it. Opening hours, the times it speaks, reminders and your morning summary all follow British Summer Time and GMT automatically.

What if my booking system can’t take bookings from outside?

Some can’t — Fresha and Timely have no public API, and Calendly only accepts outside bookings on paid plans. In those cases the receptionist texts the caller your own booking link instead, so they can book in two taps.

Do I need a calendar connected to use it?

No. It has its own diary built in, with your opening hours and appointment lengths. Connecting Google or Outlook just means your own appointments block times too, and bookings appear on your phone.

Which plans include it?

Booking on the call, calendar sync, reschedule and cancel, and reminders are included from the Starter plan. The pricing page lists exactly what comes with each plan. Texts are sent through our UK SMS service.
